Real estate is a business of missed calls. You are inside a showing with your phone on silent, mid-drive to the next listing, or with a buyer at the closing table when a new lead dials in. That caller almost never leaves a voicemail. They just call the next agent. An AI receptionist is built for exactly that gap: it answers 24/7, captures who called and about which property, sorts the enquiry, and books the next step while you keep working.
Here is what that looks like day to day with AlmaTalk, and where the honest limits are.
Answer every call, capture the lead and the property
When you can't pick up, the AI answers instead of sending the caller to voicemail. It takes down the essentials of a real estate enquiry: the caller's name and number, whether they are a buyer or seller, which listing or address they are asking about, budget or timeline if they offer it, and what they want to happen next. You get a written post-call summary of every conversation so nothing lives only in your memory.
If you serve buyers and sellers in both official languages, the agent can start bilingual, detect the caller's language, and continue in it โ with a distinct voice per language. That behaviour is opt-in and configured per agent, so you turn it on only if it fits your market.
Returning callers get recognized
When a past caller phones back from the same number, the agent can recognize them and greet them by name in the language they used last time. The caller memory โ name, topics discussed, follow-ups โ is built from the call transcript after the call ends, not assembled live mid-conversation, and it is stored on our servers with configurable retention (it is not end-to-end encrypted). For a repeat buyer who called last week about a specific neighbourhood, that continuity feels like a real front desk rather than a cold script.
Qualify against your own categories, not a generic script
Generic call handling dumps every enquiry into one pile. AlmaTalk lets you define your own service categories and urgency levels โ for example "buyer enquiry," "listing / seller lead," "current-client question," "rental," "vendor / contractor" โ and each call is auto-tagged against that taxonomy after the call, from the transcript. That means a hot seller lead and a tire-kicker asking about a sold listing don't look identical in your inbox. You can scan tags and urgency and go after the leads that matter first.
Book viewings and file callbacks during the call
Qualifying a lead is only half the job; you still have to get them on the calendar before they lose interest. The agent books appointments live during the call and adds them to Google Calendar, Outlook, or Cal.com, respecting your working hours. If you work as a team, it can honour per-agent schedules and route the right enquiry to the right person (auto-assign is opt-in). It can also confirm, cancel, or reschedule an existing appointment by phone after verifying the caller's number.
One honest caveat on calendars: inbound calendar sync polls roughly every half hour rather than instantly, so an event you personally added to your calendar a minute ago might not yet be visible to the agent. In practice this rarely causes a clash, but if you block off a slot manually right before a call, give it a few minutes.
When a real person is needed
Not every call should end with the AI. It can escalate or transfer to a person with context, so a serious seller isn't stuck talking to a machine. If a caller wants a callback, that is filed as a real task rather than a note that gets forgotten. The agent can also take a message to a specific named staff member โ but only to addresses in your own business directory, which is a deliberate security choice so messages can't be redirected to arbitrary contacts.
Follow up so leads don't go cold
Most deals are lost in the silence after the first contact. AlmaTalk can send appointment reminders in your business's timezone and language on the channel you choose, and run multi-step follow-up sequences so a lead who booked a viewing actually shows up, and a lead who didn't book still hears from you again. Combined with the post-call summary and the callback task, the intent is simple: every enquiry gets a next action instead of drifting.
Beyond the phone: one inbox
Real estate leads don't only phone. AlmaTalk runs an omnichannel inbox across voice, WhatsApp, SMS, and website chat, so enquiries land in one place. A staff member can jump in and take over a live conversation on website chat or WhatsApp โ useful when a text thread with a buyer needs a human touch. Note that live takeover applies to those text channels, not to a call already in progress; a phone call is handled by the agent or transferred, not seized mid-sentence.
Getting started and what it costs
You can have a draft agent built from your own website โ it pulls in how you describe your services, and a human reviews it before it ever goes live. You control call recording and transcript storage (they can be turned off per agent), and an optional spoken "this call may be recorded" disclosure can be switched on; it is off by default.
Billing has two parts. You pay a monthly or yearly plan that includes a set credit allowance, plus usage metered in credits โ call time is metered in seconds, with a one-credit minimum per call. Everything is charged in CAD, and there is no setup fee. Paid plans have overage enabled by default, so if you go past your included allowance in a busy month, extra usage is billed rather than cut off. It is worth sizing your plan to your real call volume rather than assuming a fixed cap.
Is it right for your brokerage?
If your problem is missed calls turning into lost commissions โ you're solo and constantly out showing, or you run a team and leads slip between agents โ an AI receptionist directly targets that leak. It won't replace the relationship work that closes a deal. What it does is make sure the first call is always answered, captured, sorted, booked, and followed up, so the leads you paid to generate actually reach you.
